Onboarding Guide
Your first week with ActiScan
Eight steps, in order, from signup to ongoing monitoring across your whole client base.
Sign up and start your trial
Every new account gets a 30-day free trial – you won't be charged during it, but a real payment method is required to start one, since it converts to a paid subscription automatically at the end unless you cancel first. You'll get an email at least 7 days before that happens. Until a trial or subscription starts, the dashboard itself stays locked; starting one is the very first thing to do after signup.
Add your first domains
One domain at a time from the input at the top of the Domains page, or all of them at once with Bulk import if you're bringing over an existing client list – paste one per line or a comma-separated list straight from a spreadsheet. Every domain is scanned immediately: SPF, DMARC, DKIM, BIMI, MTA-STS, S/MIME mail capability, subdomain exposure, and a 7-list blacklist check, all at once, no configuration required first.
Read your first report
Click Report on any scanned domain for the full breakdown – a letter grade, a score out of 10, and every check with a plain-language finding, not just pass/fail. Anything failing or warning gets a "How to fix it" note: an exact, copy-paste-ready DNS record where the fix is a DNS record, or a real explanation of the next step where it isn't (a DKIM key from your mail platform, a blacklist delisting request, a BIMI certificate).
Fix your first finding
Copy the record from "How to fix it" and paste it into your registrar or DNS host yourself – or, if you connect one of the 6 supported DNS providers (Cloudflare, GoDaddy, AWS Route 53, Azure DNS, Namecheap, or DNSimple) from the Admin page, a "Publish for me" button does it in one click instead. Either way, rescan the domain afterward (or wait for its next auto-rescan) to confirm the fix actually landed.
Brand it as your own
In Settings, set your organization name, logo, primary brand color, contact info, and a support/booking link – every one of these shows up on the dashboard, every PDF report, and every share link. A client who opens a report from you sees your brand, never ActiScan's. Optional fields further down (tagline, a closing headline, trust points, service tiers) add a full "Why us" page to the exported PDF, if you want the report to double as a piece of sales collateral.
Share it with a client
Download PDF gives a branded, print-ready file for email or a meeting. Create share link, on the same report, makes a read-only URL that needs no login and no ActiScan account on the client's end – send it directly, and revoke or regenerate it any time.
Turn on ongoing monitoring
A one-time scan is a snapshot; auto-rescan is what makes it monitoring. Set a daily, weekly, or monthly interval per domain and it scans itself going forward – no one has to remember to check back. A check that newly starts failing shows up on the Alerts page and as a banner on the Domains dashboard immediately, and can also reach email or a Slack/Discord/Teams channel if you connect one.
Connect the tools you already run on
Optional, but worth doing once you're managing more than a handful of clients: connect ConnectWise, Autotask, or HaloPSA in Settings so a newly-failing check opens a ticket under the right client automatically, and connect HubSpot or a generic webhook on the Domains dashboard so captured leads and scan activity sync to the CRM you already use.
What "done" looks like for week one
Your client domains are added and scanned, at least one finding has a real fix behind it, your branding is set, and at least one domain has auto-rescan turned on. Everything past that – DNS auto-publish, PSA routing, CRM sync, the embed widget – is worth adding as you need it, not something to force into the first week.
Questions
How long does the free trial last, and will I be charged automatically?
30 days, with no charge during that window. It does convert to a paid subscription automatically once the trial ends, unless you cancel first – you'll get an email at least 7 days before that conversion happens.
Do I need to set up branding before I can send a report to a client?
No – reports and share links work as soon as a domain is scanned. Branding is worth doing early since it applies retroactively to every report from then on, but it's never a blocker.
What's the fastest way to bring over an existing client list?
Bulk import on the Domains page – paste every domain you manage, one per line or comma-separated, and each one is added and scanned immediately.
Do I have to connect a DNS provider or PSA to get value on day one?
No – both are optional. Scanning, reporting, and manual fixes all work with zero integrations connected. DNS auto-publish and PSA ticket routing are for once you're ready to automate what's already a manual habit.
